Daily Report

In Plain English

A record filled out every day documenting who was on site, what work was done, and any problems that occurred.

Definition

A daily construction report is a field documentation form completed by the superintendent or project engineer each day to record weather conditions, workers present (by trade and count), equipment on site, work activities completed, deliveries received, inspections performed, and any notable events or issues. Daily reports create a contemporaneous project record that is critical for resolving disputes and supporting delay claims.

Why It Matters in Bidding

Although daily reports are a field tool rather than a bidding document, estimators and project teams treat them as the backbone of delay and change-order claims that protect the bid's margin. Contemporaneous records of labor counts, weather, and disruptions become the evidence base when a contractor seeks time extensions or compensation. Weak or inconsistent daily reporting undermines otherwise valid claims and can cost a contractor recovery it earned.

Example

After a flooded subgrade halts work, a superintendent's daily reports documenting rain totals, idle crews, and stopped activities become the foundation of the GC's weather-delay claim for a schedule extension.

Frequently Asked Questions

Daily reports provide contemporaneous, date-stamped evidence of conditions, manpower, and disruptions that owners cannot easily dispute later. When a contractor pursues a delay claim or extra-work change order, consistent daily documentation often determines whether the claim is paid, making reporting discipline a direct protector of project margin.
A strong report records weather, manpower by trade and headcount, equipment on site, work performed, deliveries, inspections, visitors, and any delays or incidents. Capturing specific quantities and idle time strengthens its value for productivity tracking and claims, far more than vague entries like "work continued" that carry little evidentiary weight.
The superintendent or project engineer typically completes daily reports for the general contractor, while major subcontractors often keep their own. Consistency matters: reports filed every working day, including idle and weather days, create the unbroken record needed to support schedule and cost positions during disputes or audits.
